Event Coordinator
Description
- Understand requirements for each event
- Research vendors (Hotels, Private Halls, Resorts, Production Vendors ( Stage, Sound, Lights, etc), Media Vendors ( Photographer, Videographer )catering, decorators, Influencers, artist, etc.). To keep Minimum quantity ( At Least 10 Vendors of each Category ) – Time Line ( End of August )
- Sending enquiries and Preparing quotation for all the Clients which are brought in by Sales Team .
- Following up on the updates with the clients and Vendors on timely manner .
- Coordinating with the Venues and ensuring all the required things are aligned as per the contractual requirements ( From Start to End )
- Once the event is confirmed by the sales team , The entire execution from the first to the last stage to be efficiently managed . Complete coordination from client to the vendors. Records to be Maintained for each project ( 1st stage to the last Stage )
- Oversee event happenings and act quickly to resolve problems if any
- Evaluate event’s success and submit reports
- Preparing reports on timely manner ( weekly, Monthly, Yearly, etc ) without any remainders
- Booking Meetings and aligning with Vendors
- Invoice Submission and Payment Follow up with all the clients and Vendors.
- Interdepartmental Coordination ( With in Farnek ) for all the Processes ( Raising PR , PO , GSRN ETC )
- Coordination with Marketing team on the statistics for Trendz and updating the Records on timely manner
- Working extra ( Extending working Hours , Working on week offs ) to achieve required Business Targets which will be compensated with either Comp offs or OT
- Working Under stress to achieve Operational Goals
Responsibilities
- UAE Driving License
- Excellent communication and organizational skills
- Have a flexible schedule and skills to manage multiple tasks and prioritize.
- Proficient in MS Office
