Employee Relations Officer
As the Employee Relations Officer and a key member of the Human Resources team, you are expected to provide professional employee relations services to all academic and non-academic staff members at the University of Sharjah. You will serve as the main point of contact for staff members within your designated college/department, ensuring clear communication of policies and procedures. Your role will focus on fostering collaboration and enhancing the effectiveness of employee relations to support a positive and productive work environment.
- Manage and process all types of leaves for academic/non-academic staff (such as annual, maternity, unpaid leave, compensation leave, escort leave, and short and long sick leaves) and ensure that return from leave requests are submitted on time online and/or manually after comparing them with the Attendance system.
- Handle the contract renewal process, including communicating with line managers to obtain their renewal decisions, produce renewal letters, attach required documents (e.g. performance appraisal score), and complete the renewal process on the HR LOGOS system.
- Keep track of employees who are about to complete their probation period and ensure that the line manager completes their evaluation and status confirmation.
- Handle and process all types of employee benefits and allowances on HR LOGOS, such as job promotions, annual travel tickets, distinction awards, special allowances, annual increments, transportation allowance, overtime requests, and health insurance.
- Process all transfer and change requests on HR LOGOS, such as transfer decisions, job title changes, marital status, and educational degrees).
- Issue salary certificates (To Whom It May Concern) for academic/non-academic staff and ensure they are prepared and signed accurately and in a timely fashion.
- Process Business Mission requests through the HR online application and ensure that all requests are completed correctly as per UoS’s Business Mission entitlements.
Manage the attendance system, including creating new accounts, fingerprint registration for new joiners, attendance schedules, shift adjustments, and inserting learning days. As well as Address fingerprint technical issues and fingerprint rescans using the designated system/software.
- Excellent oral and written communication skills and the ability to prepare professional documents in both Arabic and English.
- Excellent working knowledge of personal computer applications with an emphasis on MS Office applications such as Excel, Word, and Teams.
- Knowledge of ERP Systems related to HR operations would be an advantage.
- A good understanding of employment laws and regulations.
- Ability to pay close attention to employees’ concerns and perspectives, asking clarifying questions to understand their needs and concerns.
- Ability to build trust and rapport with employees at all levels, fostering positive relationships and a supportive work environment.
- Ability to pay close attention to detail in all aspects of their work, ensuring accuracy and compliance with relevant laws and regulations.
- Effectively manages multiple cases and competing priorities, ensuring timely resolution of employee relations issues.
- Maintains strict confidentiality regarding employee information and sensitive matters.
- Demonstrates empathy and understanding towards employees’ concerns and perspectives.
- Minimum of bachelor’s degree in Business Administration, Human Resources or a relevant discipline.
- 2-4 years of UAE experience in a similar role, preferably in higher education institutions.
A professional Human Resources certification (such as CIPD and SHRM) is a plus.
