SUMMARY OF FUNCTIONS:

As commencement coordinators, students are responsible for organizing and maintaining the storage of commencement gowns, ensuring their timely distribution to eligible graduates. They must manage inventory and confirm that all graduates receiving gowns have paid the necessary commencement fees. In addition, coordinators will issue QR codes to graduates upon gown receipt and create weekly reports to keep the office informed on the progress of gown distribution. Students should have exceptional customer service skills, strong organizational skills and effective communication skills.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Organize and maintain commencement gown storage.
  • Distribute gowns to eligible graduates.
  • Ensure all gown recipients have paid commencement fees.
  • Provide QR codes to graduates upon gown receipt.
  • Create weekly reports (every Friday afternoon) to keep the Office posted on the status of the gowns distribution.

SUPERVISION:

Report to: Marketing Officer

Subordinates: N/A

QUALIFICATIONS & EXPERIENCE:

  • Undergraduate student.
  • Prior experience in the same position is a plus.
  • The student has to complete 1 of the 2 shifts (morning or afternoon).

  • The ability to work under pressure.
  • Strong organizational skills.
  • Effective communication skills.
  • Exceptional customer service skills.
  • Detail-oriented.
  • Excellent Excel skills.

WORKING CONDITIONS:

  • Work is normally performed in a typical interior/office work environment.
  • No or very limited physical effort required.
  • No or very limited exposure to physical risk.
