Job Purpose
The Admin & Procurement Executive is responsible for managing all administrative functions, overseeing worker accommodations (camp management), and handling the procurement of non-inventory items for ARTC. This role ensures smooth day-to-day operations, compliance with company policies, and cost-effective procurement.
Job Responsibilities
• Oversee company-provided worker accommodations (camp management), ensuring compliance with health, safety, and hygiene standards.
• Ensure maintenance and upkeep of company facilities, coordinating with service providers for repairs and improvements.
• Handle vendor contracts and agreements for office supplies, facility maintenance, and service providers.
• Supervise the Camp Boss to ensure proper facility maintenance, worker welfare, and adherence to accommodation policies.
• Implement cost-effective measures to enhance camp operations and employee satisfaction
• Oversee the procurement of non-inventory items, such as office supplies, IT equipment, furniture, uniforms, and facility management services.
• Work closely with the ARG Procurement Department to align procurement policies and ensure process compliance.
• Evaluate and negotiate with suppliers to secure cost-effective contracts and service agreements.
• Ensure procurement processes follow ARG’s guidelines and approval workflows.
• Maintain procurement records, vendor agreements, and purchase orders for audit and compliance purposes.
• Act as the primary liaison between ARTC and ARG Procurement to ensure smooth procurement operations.
• Prepare reports and updates on administration, procurement activities, and camp management for senior management.
• Manage onboarding and offboarding logistics for employees, ensuring a smooth process for IT equipment (computers, phones), office space, and other necessary resources and to coordinate with GHCD team for onboarding and offboarding activities
• Monitor procurement performance, conduct appraisals, and maintain strong relationships with suppliers to ensure service quality and cost efficiency.
• Oversee compliance matters, ensuring coordination of working procedures in alignment with company policies.
Job Requirements
Qualifications:
Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
Experience:
- 5+ years of experience in administration, procurement, or facility management, preferably in the automotive or retail industry.
- Strong understanding of procurement processes, supplier management, and contract negotiation.
- Experience managing worker accommodations or camp operations is an advantage.
- Knowledge of UAE labor laws, health & safety regulations, and facility management best practices.
Knowledge & Skills:
- Strong organizational and problem-solving skills.
- Excellent negotiation and vendor management abilities.
- Ability to handle multiple tasks and coordinate across different departments.
- Proficiency in MS Office, ERP systems, and procurement software.
- Strong communication skills in English; knowledge of Arabic or Hindi/Urdu is a plus.
