Payroll Officer
As the Payroll Officer, you are expected to ensure the accurate, timely, and compliant processing of payroll and employee compensation at the University of Sharjah. This includes calculating salaries, processing benefits, maintaining payroll records, and adhering to relevant labor laws and regulations, all in alignment with the established policies and procedures. Your role is crucial in ensuring that all payroll operations are efficiently managed and in compliance with the University’s standards.
- Assist in executing the monthly payroll process, and ensure that all related processes are completed accurately and in a timely fashion in line with the developed policies and procedures.
- Process all payments related to employee benefits and allowances as per entitlements and contractual terms.
- Assist in processing any updates/changes to employee compensation as a result of annual increments, promotions, transfers, acting role assignments, salary advance payments, change of marital status, statutory allowances, higher academic degree allowances, absenteeism, and disciplinary actions.
- Ensure timely application of any updates/changes to employee compensation and accurately reflect them in the system.
- Assist in processing pension payments for UAE nationals to the Sharjah Social Security Fund and GCC nationals to their respective pension schemes as per the laws, regulations, and authority’s procedures.
- Assist in completing compensation-related procedures under the offboarding process in a timely and effective manner, which includes the payment of End of Service Benefit after the deduction of employees’ dues, if any.
- Ensure proper record-keeping, document control, and indexing of all payroll-related documents into monthly payroll files and/or employee files as applicable, for the easy retrieval of documents as and when required.
- Assist in reconciling payroll prior to transmission and validating confirmed reports, as well as provide and promote service excellence and foster effective teamwork and business relationships.
- Ensure that employee compensation data is safeguarded and that procedures are handled with utmost confidentiality at integrity at all times.
- Proactively and effectively participate in the HR quality assurance management process, which entails that each team member is responsible for conducting a thorough review of other team members’ deliverables before being issued or submitted in a final format.
Assist in preparing various reports, analyses, and statistics related to the Payroll Section when requested.
- Excellent oral and written communication skills and the ability to develop financial reports, in both Arabic and English.
- Excellent working knowledge of personal computer applications with an emphasis on MS Office applications such as Excel, Word, and Teams.
- Good numeric skills with an ability to spot numerical errors.
- Basic knowledge of payroll-related compliance and reporting requirements.
- Basic knowledge of payroll operations preferably in higher education.
- Knowledge of ERP/HRIS Systems related to HR operations is a plus.
- Time management skills.
- Attention to detail
- Minimum of bachelor’s degree in Accounting or Finance or a relevant discipline.
- A relevant professional certification in payroll management such as Certified Payroll Professional (CPP), or a professional qualification as a chartered accountant or qualified member of a recognized professional accounting body (e.g. CFA, CA, CPA.) is a plus
2-4 years of UAE experience in a similar role, preferably in higher education institutions.
