What You’ll Do

Core Job Responsibilities:

  • Understanding the commercial team objectives and connecting the order execution process with the commercial team financial goals, to achieve the annual sales objectives.
  • Getting the freight costs from logistics and filling in the details for pricing, weights, dimensions, Palletization, and packaging.
  • Ability to process the request for quotation (RFQ) received by customers and fill in all the needed data accurately.
  • Once the purchase order is received, full review and validation of the purchase order details and linking it with the right external and internal stakeholders, making sure that purchase order is clean, and details are accurate (pricing, lead times, freight costs, registration status).
  • Align with Regulatory and Quality teams on the products registration status, quality approval and ability to ship from Regulatory and Quality perspective.
  • Order confirmation, review payment terms, and prepare needed shipping documents.
  • Getting the expiry dates approvals and confirming to the costumer availability and allocation of goods.
  • Share the shipping documents with our customers and follow up on getting the greenlight to ship the goods.
  • Depending on the delivery incoterms; follow up on the pickup of goods by our customers, connecting with our freight forwarder to get the quotes for delivery of goods, and making sure that goods are delivered at the agreed on final destination.
  • Record the collection date/delivery date and arrival of the goods to our customers warehouses.

General requirements

  • Manage order processing and tracking systems to ensure accurate and timely fulfillment of customer orders.
  • Collaborate with commercial, customer service, and warehouse teams to address order-related issues and ensure a smooth order fulfillment process.
  • Maintain accurate records of orders, shipments, and inventory levels.
  • Monitor stock levels and proactively communicate with the inventory management team to ensure product availability.
  • Coordinate with shipping carriers and logistics partners to ensure on-time delivery and resolve any shipping issues.
  • Communicate with customers to provide order status updates, address inquiries, and manage customer expectations.
  • Generate reports on order fulfillment progress, including key performance indicators and areas for improvement.
  • Stay current with the latest order fulfillment processes, technologies, and industry trends.
  • Identify opportunities for process improvement and collaborate with cross-functional teams to implement enhancements.

Essential skills and requirements:

  • Bachelor’s degree in business or related field.
  • Commercial background with the ability to link the order fulfillment with the commercial team objectives.
  • Previous experience in order fulfillment, supply chain, or related field.
  • Excellent organizational, communication, and customer service skills.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Ability to thrive in a fast-paced environment and meet tight deadlines.
  • Proficiency in Microsoft Office Suite and order management systems.
  • Knowledge of basic accounting principles and inventory management concepts
